Privacy Policy

This policy explains what information we collect when you sign up for the Happlo Review Engine, how we use it, who we share it with, and what we do with the customer lists you give us. We have tried to write it in plain English.

What this policy covers

This policy explains how Happlo Websites LLC, doing business as Happlo Systems(“Happlo,” “we,” “us” or “our”), handles information when you visit our website, sign up for the Happlo Review Engine, and use the service.

We handle information in two different roles, and it matters which one applies.

1. Information about you, our business customer

When you visit our site or sign up, we collect information about you and your business. For that information, we decide how it is used, and this policy describes what we do.

2. Information about your customers

When you upload a customer list so we can send review requests, we handle that information on your behalf and under your instructions. Your business decides who gets contacted and why. We act as your service provider. Your own privacy policy, and the permission you got from those customers, govern that relationship. See section 5.

Happlo is sold to United States businesses only. This policy is written for that audience.

What we collect about you

What you type into our signup form

Our signup page asks for exactly five things:

  • Your first name
  • Your last name
  • Your work email address
  • Your mobile number
  • Your business name

We also record which plan you selected and the rough number of customers you told us you serve each month, as a range rather than an exact figure.

Your acceptance of our Terms

When you check the Terms box, we save a record that you accepted, the date and time, the page you accepted on, and which version of the Terms it was. Our server sets the timestamp, not your browser. We keep this as proof of what was agreed and when.

Payment information

Stripe collects and stores your card details. We do not. See section 4.

Images and business content you send us

To personalize your review requests, you may send us your logo, team photos, job and project photos, before-and-after pictures and other business material. We store this so we can build your campaigns. Some of these images contain people, such as your team or, in a project photo, a customer’s property, so you are responsible for having permission to give them to us. We use them only to create and send your campaigns, and we do not use them to advertise Happlo unless you give us separate written permission.

Your booking

When you book your setup call, our scheduling calendar collects your name, email, phone number, business name and the time slot you chose.

Information about your visit

Like most websites, our hosting provider automatically records technical details of each request, such as your IP address, browser type, device type, the pages you visited and the time. This is used to keep the site running, to fix errors and to protect against abuse.

Messages you send us

If you email, call or text us, we keep those messages and our replies so we can help you and keep a record of what was agreed.

How we use your information

We use the information described above to:

  • Create your account and manage your subscription.
  • Build and run your review campaigns.
  • Schedule and hold your onboarding and setup calls.
  • Bill you, take payment and handle cancellations and refunds.
  • Send you account messages, such as receipts, billing reminders and service notices.
  • Answer your questions and give you support.
  • Keep records that show you agreed to our Terms.
  • Keep the service secure, prevent fraud and prevent abuse.
  • Understand how our signup flow performs, so we can improve it.
  • Meet our legal, tax and accounting obligations.
  • Send you marketing about Happlo, where you have given the permission that the law requires for that channel.

We do not sell your personal information. We do not share it with other companies for their own advertising. See section 10.

Payment information and Stripe

Happlo never receives or stores your full card number. When you enter your card, you enter it directly with Stripe, our payment processor.

From Stripe we receive only limited information, such as:

  • Your Stripe customer and subscription reference numbers
  • The card brand and the last four digits
  • Whether a payment succeeded or failed
  • Your billing and renewal dates
  • The plan and amount

Stripe handles your card details under its own privacy policy and its own security certifications. We recommend reading Stripe’s privacy policy at stripe.com/privacy.

Your customers’ information

To run a campaign, you give us contact details for your own customers, usually a name, a mobile number and an email address, and sometimes job or service details.

We use that information only to:

  • Send the review requests and follow-ups you asked us to send.
  • Record replies, opt-outs and delivery results.
  • Report back to you on how the campaign performed.
  • Keep the service working, secure and compliant.

We do not use your customer list for our own marketing. We do not sell it, rent it, share it with other Happlo customers, or use it to build a general marketing database.

Your responsibilities

Because these are your customers and your messages, you are responsible for having the permission the law requires before we contact anyone. That obligation is set out in our Terms of Service.

If one of your customers contacts us directly about their information, we will normally pass the request on to you and help you respond, because you are the business that holds the relationship with them.

Opt-outs

Anyone can reply STOP to a text message to stop receiving them, or use the unsubscribe link in an email. We honor those requests, and we do not undo them. If someone opts out, they stay opted out even if their name appears on a later list you upload.

Mobile Information and Messaging Consent

We do not sell, rent or share mobile phone numbers, or SMS opt-in or consent data, with third parties or affiliates for their own marketing or promotional purposes. This applies to your number, and to the numbers of the customers on the lists you give us.

Mobile information is shared only with the messaging providers that actually deliver and support the messages you asked for, such as our text-messaging and email providers. Those providers may process mobile information only to deliver and support those requested messages. They are not permitted to use it for their own marketing, and they are not permitted to pass it on for anyone else’s marketing.

Two different kinds of messages

Account messages are the ones you need in order to use what you bought: receipts, billing reminders, setup-call confirmations, delivery problems and service notices. You may opt out of text messages, including account texts, by replying STOP or using another supported reasonable opt-out method. We do not treat an active account as permission to ignore that request. Necessary nonmarketing account information may still be delivered by email or another appropriate non-text channel. Marketing opt-outs remain separate from subscription cancellation.

Marketing messages are about offers, tips and new features. We send marketing texts only to people who have separately opted in to receive them.

Agreeing to our Terms is not consent to marketing texts. The checkbox on our signup page records only that you accepted our Terms of Service and this Privacy Policy. Permission to receive marketing text messages is collected separately, on the opt-in form where we ask for it. You can buy and use Happlo without ever giving it.

What to expect, and how to stop

  • Message frequency varies.
  • Message and data rates may apply.
  • Reply STOP to any message to opt out of text messages.
  • Reply HELP for help, or contact us at support@happlosystems.com or +1 (904) 243-5489.
  • Use the unsubscribe link in any marketing email to stop those.
  • Carriers are not liable for delayed or undelivered messages.

Opting out of texts does not cancel your paid subscription. Replying STOP only stops the messages. To cancel your subscription, follow the steps in our Cancellation & Refunds section.

Records we keep

We keep records of consent, of your acceptance of our Terms, and of every opt-out and suppression request, and we may retain them for as long as needed to show we complied with messaging and privacy rules. Keeping an opt-out record is what allows us to keep honoring it: if someone opts out, they stay opted out even if their name appears on a later list.

Cookies and analytics

Optional Google Analytics stays off unless you accept it. Declining does not prevent signup, checkout or booking.

Our signup flow uses session storage to carry your answers to the checkout step. This is separate from analytics storage and is used to complete your requested signup.

Google Analytics is optional. When analytics is enabled, its script stays off until you choose Accept analytics. You can choose Decline analytics and continue using the site.

After acceptance, Google Analytics uses cookies to measure page visits, selected clicks and signup-flow interactions. Reports can include browser and device information, approximate location, timestamps and cookie identifiers. Requests to Google also expose connection information such as your IP address to Google.

Our analytics events exclude names, email addresses, phone numbers, business names, customer lists, contact-form answers and Stripe or payment identifiers. We strip URL query strings and fragments and restrict reported page paths and referrers. Allowed event details include the plan, a coarse customer-volume range, how the plan was selected and the plan amount. A page visit is not treated as proof of a booking or payment.

We use these reports to improve our website and signup flow. This integration does not enable the Meta pixel, Google signals or advertising personalization. Readhow Google uses information from sites using its services and Google's privacy policy.

Your choice and browser storage

When analytics is enabled, use Privacy choices to change your selection. We remember acceptance or decline in local storage on this site for up to 90 days. The main website and review funnel store choices separately. A Global Privacy Control signal prevents this analytics integration from starting, even if you previously accepted.

Our Google Analytics cookie configuration uses a 90-day lifetime, which may refresh on later consented visits. Declining later stops our reporting, clears the Google Analytics cookies accessible to this site and reloads the page to unload the analytics script. It does not delete reports already collected. You can also clear cookies and site storage in your browser or contact us about previously collected information.

Cookie lifetime is separate from report retention. Analytics reports and aggregated statistics may remain after a cookie expires; contact us using the details below with a privacy or deletion request. Analytics consent is separate from acceptance of our Terms and from permission to receive marketing messages.

Embedded video, calendar and payment providers

The review explainer uses an embedded Vimeo player and player software. It can load when the page is displayed and autoplay muted, before you turn on sound. Vimeo receives connection and device information needed to deliver it. We request Vimeo's dnt=1 reduced-tracking mode, but that is not a promise of zero data collection: essential security cookies and existing Vimeo cookies can still be involved. Booking pages may embed a GoHighLevel/LeadConnector calendar, and checkout sends you to Stripe. These providers receive connection information and the details you choose to submit; they may use their own cookies or storage. Our analytics choice controls our Google Analytics integration, not all third-party video, scheduling or payment technology. Review each provider's notices and choices. Blocking third-party resources may prevent an embedded feature from working.

Who we share information with

We share information only with companies that help us run the service, and only with what they need to do their job. These include:

  • Stripe — payments, subscriptions and billing.
  • GoHighLevel and LeadConnector — our CRM, scheduling calendar and automation.
  • Twilio — text message delivery.
  • SendGrid — email delivery.
  • HeySegment — messaging and audience tools.
  • Zapier — connections to other software you use.
  • Google — your Business Profile and reviews, and optional website analytics after you accept it.
  • Vercel — website hosting.
  • Vimeo — embedded explainer video and player delivery.
  • Other hosting, messaging, accounting and integration providers we may use.

We may also share information:

  • With our lawyers, accountants and insurers, when they need it.
  • When the law requires it, such as a subpoena, court order or valid government request.
  • To investigate fraud, protect our rights, or protect someone’s safety.
  • With a buyer, if our business or substantially all of our assets are sold or merged. We will tell you if that happens and your information moves.
  • With anyone else, when you ask us to.

We do not sell your information

We do not sell personal information for money. We do not share it with other companies so they can advertise their own products to you across other websites.

Some state privacy laws use a broad definition of “sale” or “sharing” that can include analytics and advertising cookies. If you would rather we did not use analytics for your visit, choose Decline analytics, use Privacy choices to withdraw, or turn on Global Privacy Control. You can also contact us at support@happlosystems.com. The Meta pixel is not enabled in this integration.

How long we keep information

We keep information only as long as we have a reason to.

Local audit requests include your selected business, services, area, monthly volume and email and phone number. Audit results and pending contact records are stored for seven days. Contact details are stored separately from the report. Anyone with its unguessable link can view the business results. We also use a hashed network address to limit audit requests. If your request is saved in our CRM, the contact-record retention rules in this notice apply. If you separately request email or text delivery, we record your choice, the permission wording and the time you accepted it. This permission is for your report notification only. Requesting an audit does not opt you into marketing messages.

  • Your account information — while your account is open, and for a reasonable period afterwards.
  • Billing and tax records — for as long as tax and accounting law requires, normally at least seven years.
  • Proof that you accepted our Terms — for as long as it could be needed to show what was agreed.
  • Opt-out records — indefinitely. We have to remember that someone opted out in order to keep honoring it.
  • Your customer lists — while your account is active, and for a reasonable period afterwards. After that we delete or de-identify them, except for the suppression records we have to keep so opt-outs stay honored.
  • Website logs — for a short period, normally a few months.
  • Analytics browser storage and reports — see section 7 for the 90-day browser-storage settings and how to request deletion of collected information.

You can ask us to delete information sooner. See section 13.

How we protect information

We take reasonable steps to protect information, including:

  • Encrypting data in transit with HTTPS.
  • Keeping card details with Stripe rather than on our systems.
  • Keeping secret keys out of our website code and out of your browser.
  • Limiting who on our team can see customer information.
  • Using established providers who maintain their own security programs.

No website or online service is perfectly secure, and we cannot promise that information will never be accessed by someone who should not have it. If a breach affects your information, we will notify you as the law requires.

Please help by keeping your login details private and telling us straight away at support@happlosystems.com if you think your account has been used by someone else.

Your choices and your rights

You can always:

  • Ask what personal information we hold about you.
  • Ask us to correct information that is wrong or out of date.
  • Ask us to delete information we no longer need to keep.
  • Ask for a copy of the information you gave us.
  • Stop marketing emails and text messages at any time.
  • Close your account.

Email support@happlosystems.com to make a request. We will verify who you are before we act, usually by replying to the email address on your account, and we will respond within the time the law allows.

What we can and cannot provide

We do not yet run a self-service export tool, so requests for a copy of your data are handled by hand. What we can give you, and what we can delete, depends on:

  • What is technically feasible for us to retrieve or remove.
  • Records we are required to keep by law, such as billing and tax records.
  • Opt-out and suppression records, which we must keep so that people who opted out stay opted out.
  • Proof of consent and of Terms acceptance, where we need it to show we complied.
  • Any other requirement of applicable law.

We will tell you if we cannot act on part of a request, and why. Where the law sets a deadline for responding, we meet it.

State privacy laws

Several states, including California, Colorado, Connecticut, Texas and Virginia, give their residents specific privacy rights. Where those laws apply to us, we honor them. You will not be treated differently or charged more for exercising a privacy right.

Many of these laws apply to personal and household information rather than to business-to-business contact details, and Happlo is a business service. We do not use that as a reason to ignore a request. Ask us and we will handle it.

Requests from your customers

If you are a customer of a business that uses Happlo and you want your information removed, the fastest route is to reply STOP to the text or use the unsubscribe link in the email, which stops messages immediately. You can also contact us at support@happlosystems.com and we will pass your request to the business and help them act on it.

Children

Happlo is a business service. It is not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a child has given us information, email support@happlosystems.com and we will delete it.

United States only

Happlo is offered to businesses in the United States, and our systems and our providers are based in the United States. Information is stored and processed there.

If you access the site from another country, you understand that your information will be handled in the United States, where privacy laws may be different from your own.

Changes to this policy

We may update this policy. When we do, we will change the “Last updated” date at the top of this page.

If a change significantly affects how we use your information, we will give you reasonable notice by email or in the product before it takes effect.
